Kevin Dennis (:Stone events, Raman and Manreet. And that we're gonna be talking about the mystery in the world of weddings when it comes to couples, is there's a venue coordinator and a wedding planner, and what's the difference? So we're gonna solve that mystery here today. But before we do that, we're gonna ask the ladies to tell us a little bit about themselves and how we got them here today.

everyone, my name is Manreet. I am the co-owner of Home in Stone Events, a full service wedding planning and coordination company based out of the Bay Area. So excited to be here today and to chat through all things wedding coordinating and venue coordinating. So here we go.
Kevin Dennis (:All right. Well, all right. Let's out the gate. Let's start with the question. You know, so many couples have they have. What's the difference between venue coordinator and wedding planner? Well we'll
Raman - HIS Events (:Yeah, absolutely.
You know, it can it can get so confusing, but I think one thing before we even dive in, I would just like to point out is types of venues. I think sometimes we don't think about
kind of like the broader picture. And so as we're having this conversation about like wedding planning and wedding coordination versus venue coordinating or venue managing, we have to think about like, are you at an all-inclusive venue? Are you at a winery? Are you at a hotel? Are you at a community center?

August Yocher (:Mm-hmm.
Raman - HIS Events (:at like a you know, an outdoor build your own kind of venue? Like all of these will vary a little bit based on on the venue that you have for your event and kind of like what comes with that. And so definitely keep that in mind as we're having this conversation. Manreet, do you wanna chat a little bit about kind of the initial differences?
Manreet - HIS Events (:Yeah, absolutely. I think to really make it the most basic kind of under comparison that you can between the two is the wedding coordinator, your wedding coordinator is your advocate throughout the day and throughout your planning process.
August Yocher (:Mm-hmm.
Manreet - HIS Events (:They're really the ones that are taking your personal touches, making sure that your ceremony flows according to your timeline, making sure to coordinate between all of your vendors, figuring out where your photo video locations are going to be, ensuring that your catering team has everything that they need to set up.
versus a venue coordinator is going to be the venue's advocate. So it's really about who's advocating for who and who's advocating for what. And that's not
Kevin Dennis (:Mm-hmm.
Manreet - HIS Events (:you know, that's not to say that your venue coordinator won't be supportive of you and won't make sure that your vision for your big day is what you wanted it to be, but it really just means that they have a different role and they have a different set of responsibilities. They're the ones that are on
Kevin Dennis (:Mm-hmm.
Manreet - HIS Events (:site, you know, at six AM if venue access time is six AM and they have to be there in order to make sure that the doors get unlocked.
So
that then the plan that your wedding planner has put into place as to DJ gets there at six, photographer's there at six fifteen, hair and makeup starts at six thirty, so that all of those things can happen according to the schedule. So I'd say really it's just about who's advocating for who. At the end of the day, your entire wedding team is going to come together to provide you with the most beautiful day, the most beautiful experience possible. But I'd say that's kind of like the most basic comparison.
August Yocher (:Mm-hmm.
Manreet - HIS Events (:That's something that we talk about often with our couples.
August Yocher (:Yeah, I like in the beginning how we had the disclaimer because that was definitely going to be one of my questions
Manreet - HIS Events (:Yeah.
Raman - HIS Events (:Yeah.
Kevin Dennis (:Mm-hmm.
August Yocher (:today too. Because yeah, I mean, with Fantasy Sound, we work at so many different venues and it's different every time. So it's nice to have like an understanding going into an event like who's going to be handling what. Can you guys
Manreet - HIS Events (:Mm-hmm.
August Yocher (:talk a little bit more about what else a venue coordinator might typically handle versus what a full service wedding planner can handle for your event?
Raman - HIS Events (:Yeah, absolutely. I think it's also important to note that like, you know, a lot of couples will come and say, like, our venue has a venue coordinator, so we don't need anybody else. And I think it's really important
August Yocher (:Mm.
Raman - HIS Events (:to ask the question of like, at your specific venue, what is the coordinator's role? Are they placing your centerpieces? Is that part of their job? Are they managing the vendors? Are they having communication with vendors prior to the event? like just understanding how in depth.
they go, I think would be a really good place to start for couples to understand the difference. and really making sure like just because you have the the role venue coordinator at your event venue, like are they actually lining up the processional? Is that part of what that role is? Or is that just kind of like the industry title that's been given to the, you know, person who's opening the doors for you at your venue. I think there's a lot of misconception about like what that role actually means and how it how it spans from venue to venue as well.
Manreet - HIS Events (:Yeah, absolutely.
Kevin Dennis (:I agree.
August Yocher (:I was going say it is hard for couples too because unfortunately
Raman - HIS Events (:Yeah.
August Yocher (:you do have to ask a lot of questions. And if you are touring multiple venues during that planning process, it can be a little overwhelming. And recently my cousin got engaged, so we toured a winery the other day and they ended up booking it. And we asked all these questions beforehand, but their venue coordinator, feel like is kind of...
a little in between. They mentioned they would line up the processional and they'd assist with the vendors and whatnot, but they're not going to be doing decor setup. They're not going to be doing decor cleanup. So yeah, it's really just asking the questions and making sure you have all that information before you decide to book or start planning.
Raman - HIS Events (:Yeah, absolutely. And it is hard for couples because they come in thinking like, well, this venue said they have a venue coordinator. I went to the next venue, they said they have a venue manager. And then I went over here and they have a venue operator.
And now what am I dealing with? And those can all be
August Yocher (:What does that mean?
Raman - HIS Events (:the same, it could all be the same thing. It just again varies. And so, like, for example, over at Brownstone Gardens, we used to call our team venue coordinators. And it just felt really confusing for a couple. So we actually changed the name to a venue operator. Again, not adding to, you know, helping with the confusion.
Kevin Dennis (:Yeah.
Raman - HIS Events (:But just trying to
make it clear that this person is here to operate the venue. They
August Yocher (:Mm-hmm.
Raman - HIS Events (:will, you know, be the back end, they will be your support. But at the at the day of the event, they are there to be, you know, operating the venue, making sure the venue is running smoothly, making sure that all the marks are getting hit to make sure the venue can continue to host the event on a timeline. But the timeline
August Yocher (:Mm-hmm.
Raman - HIS Events (:that we're following, you know, is not as granular as like hair at six, then, you know, photographer at seven, and then
First, look at the pond at eight. And it's not that. It's more like photographer arrived, check. Okay, DJ's here, check. They
Kevin Dennis (:Yeah.
Raman - HIS Events (:have power.
August Yocher (:Mm-hmm.
Raman - HIS Events (:Okay, good. And so that's really the difference of like how granular, how much support and how much like advocacy, advocacy do you need on your event day from somebody separate from your venue team? I think is really like almost like the deciding factor of like, do you need a an additional person, like a wedding coordinator, wedding planner for your day?
Kevin Dennis (:And I love it. I love that there's so many different you know, i I I I it's like I I always go back to the my big fat Greek wedding and we're all a bunch of fruit, but it's you know when he says that but it's just like it's so true because there's like we all say the same
Raman - HIS Events (:Yes.
Kevin Dennis (:thing, you know, like because like you said, operate but ever they just hear venue and they assume
Raman - HIS Events (:Yeah.
Kevin Dennis (:that it's probably taken care of. So the question I have for you guys is why do couples sometimes assume having a venue coordinator manager or whatever.
that title is means they don't need a wedding planner.
Manreet - HIS Events (:Yeah, I think it's really kind of what Raman was talking about a bit earlier where it's just it's confusing for them. You know, most couples are, you know, entering the wedding industry in the wedding space for the very first time. They might have had friends, cousins, people in their networks that have gotten married, but you kind of step into it and then they feel like a little fish in the big sea and there's, you know, you need this vendor and do I need a content creator and do I what is
Kevin Dennis (:Hm.
Manreet - HIS Events (:the venue? And and you know, what hotel block do I get? And there's just so many decisions that come up right away as soon as you decide, okay, we're gonna get married and we're gonna do this.
and I I would say one of the most fundamental decisions of course is what is the venue? Because without a venue, we don't have a date, we don't have a space, we don't have kind of the foundation to start building you know, your wedding weekend or your wedding celebration. And I would say that it's just it's very confusing for them. It's their first time in this world, like Roman said, you know, there's a venue operator versus a venue manager. And what does that actually mean? And it's also, you know, at the end of the day, the wedding industry is an industry full of businesses and
the marketing can also
August Yocher (:You
Manreet - HIS Events (:be quite confusing for folks where it's, you know, if you know you're being told that you have a venue manager and they're gonna do all the things and they're gonna line up the processional, but if at that time the AC goes out in the venue, you know, they're gonna prioritize fixing the AC in the venue rather than managing your processional. And that's not to say that there's any like malice or ill intent with like the way that things are being marketed to couples. I think it's just the language and being in this world for ourselves as vendors is very different than being in it for the very first time as a couple.
So
I would say just it's just a quite quite an overwhelming process and it's it's the marketing, it's being thrown all these different things at you. and then it's also, you know, couples will come to us and they'll say, like, I just really want to be present. That's the most common thing that we get when we ask them, like, what are you looking for with a wedding planner? and if you're being told that all these, you know, boxes are gonna be checked and I's are gonna be dotted, T's are gonna be crossed, from any party, whether it's your wedding planner or your venue coordinator or both,
You know, you could see how it's easy to just kind of fall into, okay, well we got that taken care of. and so maybe then I don't need to splurge on a wedding coordinator because at the end of the day all these things are also additional costs, right? And so at the end of the day, every couple has a budget in mind and so I think there's just lots of competing factors that can cont contribute to that confusion.
Raman - HIS Events (:Yeah.
Kevin Dennis (:Yeah.
Raman - HIS Events (:I yeah, I totally agree. And actually just kind of piggybacking off that a little bit, I think as much as we love our venues, and I you know, as a venue owner, I I think I can say this that sometimes venues can be a little bit yes men in the selling process. I think you couples come in
Kevin Dennis (:Mm-hmm.
August Yocher (:Mm-hmm.
Raman - HIS Events (:and they're touring and you want them to book, of course, and you wanna make their wedding everything that they want it to be. And so it's when they ask you, Can you do this? You're like, Yeah, yeah, sure, I got it. Like, you know, you want to give all the things. And again, I don't think it's with any ill intent, but I think sometimes venues
As they're selling the space can maybe overpromise. And again, it's it's tough for couples because how do you read that? How do you take what the person during the tour said versus like what you're gonna get on the day of? It's the contract of the venue is so important. Does it list
August Yocher (:Mm-hmm.
Raman - HIS Events (:the things that they said? Does it list lining up for the processional? Does it have these like really, really specific tasks that are important to you that you want to get done? Because if it does not say it in their contract, there is
This much of a chance that, as Manreet mentioned, if there's another priority that comes up, that it might, you know, your your personal things might get put on the back burner for like the larger scale of the wedding day. and that's something to consider. And so with a planning company, if you are hiring a wedding planner, ideally you're hiring them during this venue process and they're there with you, guiding you, and then double checking
August Yocher (:Yes.
Raman - HIS Events (:the contract and you know, being on your side and making sure, okay, what is the venue doing?
What's listed versus what are we gonna be doing and how do we make sure both are supported?
Kevin Dennis (:Yeah, and that's a good point because you mentioned a lot of times we'll meet with couples and they'll say, I didn't know that's not allowed or I didn't know I couldn't do that and and then I'm like, yeah, it's in it's in your contract or it's in your paperwork with that venue. it's just
Raman - HIS Events (:Yeah.
Kevin Dennis (:part of it. And they're like, yeah, we didn't read. So it's it's so yeah.
Raman - HIS Events (:Yeah. And they don't. That's the my biggest,
like, what do you mean? Like, we we nobody
August Yocher (:Nobody reads.
Manreet - HIS Events (:Yeah.
Kevin Dennis (:Yeah.
Raman - HIS Events (:reads and they're signing. And I'm like, you guys. And and as a as a company, whether it's yes, which rightfully
Kevin Dennis (:And then they're getting upset about it. Yes. Yeah. Yeah.
Raman - HIS Events (:so, in the sense of like you have a vision, you wanna execute it, you
August Yocher (:Totally.
Raman - HIS Events (:thought XYZ. My biggest advice overall to anybody is never assume. Never assume you're getting a linen if it's not written down that you're getting a linen.
Kevin Dennis (:That's good advice.
Raman - HIS Events (:Because like you
might just be getting a table. Like you do not know. And don't even assume you're getting a table if they didn't tell you the you know, because you
August Yocher (:Mm-hmm.
Kevin Dennis (:No.
Raman - HIS Events (:don't know every venue is a little bit different. And the
Kevin Dennis (:Yes.
Raman - HIS Events (:the amount of times that couples unfortunately don't read things in advance and then had a vision. And then as a venue, it's never fun to be the bad guy of like, you know, well, you can't actually do this. And then from
August Yocher (:Mm-hmm.
Raman - HIS Events (:the vendor perspective, you guys have been doing this for a long time. We are a little bit newer as like you know, our company and name, but Manreet and I have been doing weddings.
for like over a decade independently and we've seen our fair share of venues. And so right off the bat, when someone's like, I book so and so place, I already know you can't do X, Y, Z, because we've worked there
August Yocher (:Yes.
Raman - HIS Events (:and we've dealt with it, that we can clearly tell them like the do's and the don'ts. But it's it's
Kevin Dennis (:Mm.
Raman - HIS Events (:you know, and it's it's a benefit to have that on your side, but it's not a given if you're not reading through all that paperwork up front.
Manreet - HIS Events (:Yeah. And I would
August Yocher (:Yeah.
Manreet - HIS Events (:say that's one of the things the things that we pride ourselves on as planners is really, especially in the full service planning process, is we do the site visits with our couples, we are there with
Kevin Dennis (:Yeah.
Manreet - HIS Events (:them, we are asking the questions. because you know, a beautiful property can be a beautiful property, but it's really does this property make sense for the type of celebration that you are wanting, whether it's guest count,
August Yocher (:Mm-hmm.
Manreet - HIS Events (:whether it's weather considerations, whether it's, you know, is it a full venue or is it also an operational space like a golf course? Because then we need to consider
you know, where the caddy's going to be during your ceremony and how do we make sure that we're not disrupting,
August Yocher (:Mm-hmm.
Manreet - HIS Events (:you know, the members. And there's all sorts of considerations that we have to keep in mind there. and I'd say as planners, you know, our role is really to kind of help pull out those green flag or those red flags, make sure that we're identifying any areas in which the venue contract doesn't meet your specific needs or your specific vision before we get to the signing phase. Because once you're in a contract, as we all know, it's it's kind of like
we're working within a box that's already, you know, kind of put together, versus if we're
August Yocher (:Mm-hmm.
Manreet - HIS Events (:in the negotiation phase, as your planners, we're gonna try and make sure that we build a contract with your venue that makes sense for you based on all of the unique considerations and things that you want for your wedding. Especially for us, since we do cultural weddings, a lot of cultural weddings, there'll be, you know, considerations for like can we have a hub and can we even have open fire? Can we have the guest count? Because South Asian weddings tend to have a larger guest count.
what does the flow look like for ceremonies like a baraat or other things like that? And so I think it's really just about understanding what your vision is and making sure that the venue fits that versus the other way, right? Because sometimes people can get caught up on like, I really love this venue, but we as planners also have to be the bad guys sometimes and tell them it's not gonna work because of X, Y, and Z factors.
Kevin Dennis (:And I think that's a good point because if you guys are starting with them prior to the site selecting the site,
Manreet - HIS Events (:Mm-hmm.
Kevin Dennis (:you already know all the red flag you know, the
Raman - HIS Events (:Yeah.
Kevin Dennis (:little flags and everything that's gonna come up. Like I remember we had a a gentleman that wanted an elephant for his barat and
Raman - HIS Events (:Yeah.
Manreet - HIS Events (:Mm.
Kevin Dennis (:and the and the venue would not allow it. and so but if he was working with the planner pre they would have been able to find a venue that would allow it, you know,
Manreet - HIS Events (:Exactly.
Kevin Dennis (:yeah.
So
Raman - HIS Events (:Exactly.
not everyone comes in like right at the beginning phases either. Like sometimes we do work with couples that come in, they have their venue, maybe they have a few vendors, but as planners, we still definitely go through like what are we gonna do versus what your venue is gonna do. So even something as simple as like
music, a venue might just say, okay, what's your DJ's arrival time? What are their power needs? Do they need a table? Here's where they're setting up. As opposed to us as planners, we're talking about what are they MCing? How are they transitioning guests? You know, is there a processional? Are there music changes? Is there kind of like entrances that they're gonna be announcing? Like all of these very granular things that are the it's the same vendor that we're talking about, but it's completely different conversations. And that kind of goes across the board for like
all different vend vendor types within like a wedding.
Kevin Dennis (:Yeah. Good good points.
August Yocher (:Yeah, and I was going to say kind of in the vein of all this, because I know you were saying with venues or even just vendors in general, like they can tend to be yes, men in the selling process.
Raman - HIS Events (:Yeah.
August Yocher (:Do you kind of find it more as a green flag if a vendor or venue isn't afraid to tell you like, hey, we don't allow this or
Raman - HIS Events (:y yeah.
August Yocher (:like because I would feel a little bit better, you know, like they are being upfront and bringing it up or even unprompted, right? Like.
Hey, just want to let you know off the bat
Raman - HIS Events (:Absolutely.
August Yocher (:that this is something we can't do in case that's what you're expecting.
Raman - HIS Events (:Yes, absolutely. As a venue, I think transparency is so important. So a venue that like, you know, for example, maybe they don't have like an amazing rain plan, but they're like, hey, we can tent, we can do this and this. We know this is gonna be an issue. So here are the options. I hope it's a good fit. If it's not, then you know, we wish you the best of luck. Like it has to be
August Yocher (:Mm-hmm.
Raman - HIS Events (:fitting for the couple and transparent for the couple of like, you know, if music is off at ten o'clock, that's told to you as soon as you walk through the door, not after you've fallen in love with the venue and you've like
Kevin Dennis (:Yeah.
Raman - HIS Events (:talked about having, you know, a dance party till midnight that they let you know that, actually that can't happen. Like,
August Yocher (:Hmm.
Raman - HIS Events (:you know,
Kevin Dennis (:Yeah.
Raman - HIS Events (:things like we build the the venue in the space can be built around a couple to an extent. And then the rules that are the rules, if they're gonna be enforced, they should be told. I I truly believe in transparency. And I almost laugh and call it like I call it like an Indian uncle mentality when someone wants
August Yocher (:Mm-hmm.
Kevin Dennis (:Mm-hmm.
Raman - HIS Events (:to just be like, yeah, we can do it. Yeah, no problem. We got you. Like there at some point there has to be like
Yes, but or like something if they just yes to everything, that's a huge red flag
August Yocher (:Yeah.
Kevin Dennis (:Yeah.
Raman - HIS Events (:for me.
Kevin Dennis (:Yeah. It totally makes sense. All right. Can you guys walk us through what each person might be responsible for during
Raman - HIS Events (:Yeah.
Kevin Dennis (:the actual wedding day? Like comparing the, you know, planner and venue coordinator?
Manreet - HIS Events (:Yeah.
Raman - HIS Events (:Yeah.
Should we start maybe at the beginning of the day and just like work our way up?
August Yocher (:Yeah.
Kevin Dennis (:Yeah, let's do that.
Raman - HIS Events (:Okay. Sure.
Manreet - HIS Events (:Yeah.
Raman - HIS Events (:I can maybe I maybe I could be venue for and Manreet can be planning just to kind of give different perspectives. Is that fun?
August Yocher (:I love this! Yeah!
Kevin Dennis (:Mm-hmm.
Raman - HIS Events (:Okay.
Manreet - HIS Events (:Yeah.
Raman - HIS Events (:so if we if we start maybe just like pre-event. So we're not even at the event day, there's gonna be a bunch of conversation that's been had with the venue in regards to like the access time, what time you can come in, what time vendors are allowed to come in.
Maybe parking has been discussed a little bit, layouts been discussed, but that's kind of like and unless the venue is providing food and bev. So they have catering in-house, they have bar in-house, there will be a little bit more that's been discussed. But that's like the general. We've touched on all the vendors and we've touched on like the basic access time and like layouts, but there's not a bunch of other details that the venue needs to know in order to do their part for your day.
Manreet - HIS Events (:And then we as the planner have very clearly discussed with your venue what time do the doors actually open because there's the access time for all the vendors. we are first on site, last to leave. That is our planning philosophy. And then we are there to essentially check in all of your vendors as they begin to roll in. So like Roman said, if catering is coming from the outside, they're they'll probably be one of the first vendors that are coming on site.
August Yocher (:Mm-hmm.
Manreet - HIS Events (:so we're making sure that we are getting them all set up, making sure that everything that the venue had agreed to, whether it's access to a certain part of their kitchen, access to an outside space for live cooking, anything like that, all of those things are taken care of. And then the venue layout that we had agreed upon, whether it's just, you know, a certain table configuration and not necessarily linens decor, but all of that is done. We have the right number of seats at the table. All of those things are kind of starting to happen as the day begins.
and then essentially we would also set up your bridal suite. So we'll make sure that, you know, if your makeup artist said that they need a four-foot stool in the suite and they need access to at least four outlets. And you know, you would you have also personally requested that you have a bottle of prosecco and some water in the suite. That is our role to make sure that all of those things happen. Of course, you know, given that the venue allows for that. So that's kind of how we're starting the day is we're getting everyone set up, we're checking your vendor your initial vendors in.
And then we're making sure that our bride and groom, when they arrive, have everything that they need so that they can just kind of go into their spaces, go into their suites, and be comfortable and kind of start their getting ready process
Raman - HIS Events (:Absolutely. And so from the venue perspective, when couples come in, we essentially unlock bridal suites for them, make sure they're situated. they bring in any personal items that they want. and then the space is theirs to use for hair makeup, etc. If they want to do photos and things like that, the venue is ready for them. Again, like tables have been set,
August Yocher (:Mm-hmm.
Kevin Dennis (:Mm-hmm.
Raman - HIS Events (:chairs have been set, the venue has done that part. And then we are there if a venue or sorry, if a vendor has questions about anything, but we're pretty
Kevin Dennis (:No.
Raman - HIS Events (:much just
hanging out until, you know, guests start to roll in. Again, if you have catering or bar, there's a little bit more back end work that the venue is doing, like prepping food, setting the bar.
August Yocher (:Mm-hmm.
Raman - HIS Events (:You know, maybe if the couples requested like something really specific, they, you know, some venues do a really nice like spread for the bridal suite and the groom suite. They've like put that kind
August Yocher (:Mm-hmm.
Raman - HIS Events (:of food out, but that's if they are specifically handling that role.
Manreet - HIS Events (:Yeah, absolutely. And then as we kind of move into the couple getting ready for their day, and additional vendors rolling in, we're gonna make sure your photo video team is on site,
Kevin Dennis (:Mm.
Manreet - HIS Events (:you know, the table that they need, the media team also has, you know, their space, access to power, all the things that we had already pre-discussed with the venue, making sure that sounds checks and things are happening, making sure that decor installations are going as they need to, and then also making sure that once those photos do start, whether it's first look, family portraits,
bridal party portraits, we are making sure that the flow of all of those things is making sense based on the timeline that we've already discussed for the day. So like Raman said, you know, the pond is ready to go. Maybe there's an additional separate first look site, but our role is to really be there with the media team and make sure that they have not only their shot list, but then we're keeping on track with timing and making sure that, you know, if Aunt Jodi really needed to be in one picture, that Aunt Jodi's there for it. because that is all we do, right?

Manreet - HIS Events (:once. but it's really kind of getting granular with the couple's vision. So this is where we get more specific with, hey, this was really important to them. They really wanted to make sure they had this first look, they really wanted to make sure that this moment was private. and then again as the rest of the venue to the vendor team continues to roll in, we're checking them in, we're making sure that they have what they need, setting them up, whether there's like a media room or a vendor green room, that's our
Favorite type of venue that has an actual vendor green room. but really just making sure that everyone feels good and comfortable distributing our printed timelines for the day and making sure that not only the couple feels well taken care of, but family, bridal party. We do a lot of communication with everyone beforehand. We actually send out like a separate email to we call it like family and VIPs. And so like they will get like their own packet of like, hey, here's all your getting ready times, here's the getting ready locations, here's where we need you to be at 3 p.m.
Kevin Dennis (:Mm.
Manreet - HIS Events (:for your
bridal party portraits because no one else is going to be telling you that information and they're not going to necessarily need our 16 page timeline, but they're going to need a quick snapshot of hey, here's where I need you to be and here's why. So our we're kind of managing all of that.
Raman - HIS Events (:Yeah. I love that. And then as we roll into like the day, as guests start to trickle into the event and the event's gonna begin as a venue. Maybe there's a parking attendant kind of welcoming guests in. Maybe there's security that's arrived to kind of manage the event. Potentially with your venue, there's like somebody welcoming guests as they're coming in, directing guests. Maybe not. Maybe there's signage. and then you know, the venue is refilling water stations. They are making sure like
August Yocher (:Mm-hmm.
Raman - HIS Events (:If
there's a planner on site, they're typically doing a check-in, like, hey, are we on schedule to start on time? If there's no planner, they're asking the couple, are you guys ready to begin? Your start time is five o'clock. Like they're doing a quick general check-in with like a timeline that we have. Again, that's just like broad numbers and making
Kevin Dennis (:Mm-hmm.
Raman - HIS Events (:sure that the venue is like ready to begin the processional or the ceremony.
as
we mentioned, some venues, like for example, our venue does line up the processional and bring out the bride and things like that. We offer a little bit more of a specialized service. Your venue may or may not offer that. And so is that mean like you're coming out with friends and family if you don't have that planning
Kevin Dennis (:Mm.
Raman - HIS Events (:service, all of those kind of little things. But essentially the venue is bringing guests into the space, sending them to the ceremony area, given that we're talking about ceremony, cocktail hour and reception.
And they're just kind of letting everyone, you know, move forward with their day. Maybe they're letting the DJ know that, hey, I checked in with the bride and she said she'll be ready to go in ten minutes. And they're just kind
Kevin Dennis (:Mm.
Raman - HIS Events (:of doing that quick check in. But there's not a lot of additional, you know, timeline management apart from that general direction.
Manreet - HIS Events (:Yeah, absolutely. And then as far as your wedding planner goes, not only are we making sure that that media list and all those things are happening, but we're also making sure that any personal items are placed in your ceremony space,
August Yocher (:Mm-hmm.
Manreet - HIS Events (:whether it's fans or programs on everyone's seats, making sure that any cultural elements that you really wanted to make sure were included are moved into your ceremony space. And then also making sure that everything is on time with all of your vendors beyond just, hey DJ, are you ready? It's no, hey DJ, are you ready? And can you just make sure that you have, you know, playlist A, B, C, D.
That we had already pre-discussed because the couple was really specific about what they wanted their baraat, you know, music to sound like, or is the car ready? You know, whatever kind of car the groom is gonna do maybe do their entrance in. Is that car ready? Is it do we have the route cleared? You know, again, we kind of go back to what's the venue type. We're gonna need the venue support with, you know, clearing golf courts out of a path, but also
that's on us to have that foresight to say, like, okay, not while the baraat is happening, we're gonna be doing that, but we needed
August Yocher (:Mm-hmm.
Manreet - HIS Events (:to make sure that that's built into our timeline beforehand.
Kevin Dennis (:Yeah.
Manreet - HIS Events (:so we'll be like walking in the venue and be like, hey, we need these carts cleared, you know, five minute countdown. then of course once the ceremony starts, making sure that the entrances happen the way that they're getting were planned, making sure that everyone has their moments as they need to within the ceremony itself.
And then also just making sure that the couple again feels very supported and you know is ushered through the whole process in a way that feels personal and respectful to them and not just, hey, we gotta go, it's five o'clock, your timeline is your ceremony is starting. like Raman said, with the venue, you know, they will have an idea, but the the ceremony needs to start at 5 p.m., it needs to go till 5.25, and then we're done. but with us and our role as planners is let's say, you know, for some reason we are starting at 5.10 or 5.15.
we then kind of rearrange the day and have buffers built into our day already to help manage all of the vendors so that when we are 10 to 15 minutes behind, if that happens, because life happens, things happen. it doesn't feel like it completely throws off the day for the media team. It doesn't mean that they don't get their shots with the couple afterwards. It doesn't mean that mom doesn't get her special dance. It just means that we've kind of rearranged things and have a plan in place to make sure that the day continues to flow.
Kevin Dennis (:It's funny you said things happen and you're not on time. I always get nervous when things are are on time. I'm like, something's gonna go wrong. I'm like, I don't know why.
Raman - HIS Events (:Yeah. You're like why?
Manreet - HIS Events (:Yeah, no, absolutely.
Raman - HIS Events (:I always think if if if if you're within ten minutes, you're on time. Yeah.

Raman - HIS Events (:of you. But there's just such a different level. I think even just hearing about half the day, like such a different level of support that you're gonna get from a venue as opposed to someone that's really there, like for you, for your event.

Yeah. As we wrap up, let me go through cocktail really quick of like if a ceremony ends as a venue, if you're in a space where there's multiple areas, you're moving indoor to outdoor or moving to a different area, venues would most likely like transition guests, kind of help manage that. if there's if they are doing food and beverage, they're making sure the bars are ready, that the food, the appetizers are ready, like all of that kind of catering back end service. the venue would make sure that's all ready to go. And then apart from that, if
know the couple wants to go do pictures. Maybe the venue is kind of like ushering them to one side for photos, but then like the video team would help with that. And then going into reception again if you're moving spaces again. There's another kind of ushering process that might be happening. And then essentially dinner service, managing the bar, busing tables, all of that again. It could be your catering team. It could be your venue team. It really depends on the space. And then essentially like
Making sure that at a certain time music is off, bar is closed, like things have wrapped up, and making sure like the ceremony site got got cleaned up or transitioned. Kind of like once guests are out of a space, I think the venue is very then focused on like, okay, let's clean that space up. We're done with that area. Let's make sure, okay, we're done with cocktail, we're not using this again. Let's make sure some staff has cleaned that up. And then just keeping the event on schedule to end at the appropriate end time. and then potentially like, you know.
managing any kind of like post event such as like as vendors are clearing out if there's questions, concerns, but usually it's like a one
August Yocher (:Mm-hmm.
Raman - HIS Events (:hour cleanup and vendors need to be out of that space and there's like a venue person there to kind of manage that.
Manreet - HIS Events (:Yeah, absolutely. And I'd say from the planning perspective, part of our role is of course to oversee this breakdown of each space as we're kind of get done with it because we always tell couples that you know you might have access to golf course area A, but it's only going to be from X time to X time. And it's not necessarily that we have an all-day buyout of this space,
Raman - HIS Events (:Area A but it's going to be from X tie to X tie, but we have all day.
Manreet - HIS Events (:particularly when we're working in venues that are not just a venue, right? They might have another event in the evening if your ceremony was from twelve to two. And so lots of things to consider there.
Kevin Dennis (:So once the
Raman - HIS Events (:so we as planners would continue with like helping usher guests into a cocktail hour. If there is like, let's say, an outside bar, outside catering, we're checking in with those vendors, making sure they're ready for cocktail hour prior to that beginning. We're checking in with DJ, we're making sure like
The couple is getting fed because sometimes they don't get a bite to eat or they don't get anything to drink,
August Yocher (:So important.
Raman - HIS Events (:right? Feed our people. yes.
Kevin Dennis (:I was hangry after my wedding, so yes, that's a good point.
Raman - HIS Events (:I was too. And then maybe we're like as a planning team, one person's off with the media team, with the couple, kind of like doing photos at sunset, and one person is with guests, you know, managing that.
Cocktail hour area. And maybe there's one person like double checking that like the name settings got put out to dinner and that's getting done over there. And so with a planning team, you might have different people doing different kind of like tasks throughout the event. once cocktail hour was to wrap up, you know, we'd make sure, again, kind of guests get ushered. We kind of usually stand there like
With a clipboard or the seating chart and help guests get seated a little bit more quickly, making sure, like if you're looking for table eight, we can direct you there, making sure
Kevin Dennis (:Mm-hmm.
Raman - HIS Events (:that if there was for whatever reason any mix-up with a seating chart that, you know, we already have a backup plan of like, so-and-so table, we know there's two extra chairs, you can sit over there. Like we've got
August Yocher (:Mm-hmm.
Raman - HIS Events (:done all of this kind of like pre-prep already. and then we are with the couple, like if they requested they want a private moment, we make sure that happens. We bring them out when they're ready, we line up processional for grand entrances for the reception.
Coordinating with the DJ on cues for music. We might be opening and closing doors if we're going in and out of like a ballroom space. and then throughout the event, we're managing dinner and and not actually managing it. you know, the cater, of course, is responsible, but making sure that we've checked in with them. Is dinner ready before we tell the DJ to release tables or whatever that process might be.
Kevin Dennis (:Yeah.
Raman - HIS Events (:and then as we get into the end of the event, you know, couples enjoying, the family's enjoying, we are collecting their personal items, making sure that we're
August Yocher (:Mm-hmm.
Raman - HIS Events (:sending them back with all of their, you know, guest book and photo book and all of those things, clearing out the bridal suite that they were getting ready and making sure their dresses are packed, that they've done an outfit change, like all of that, all of that gets put into a vehicle. Like, really, our our whole goal as a planning team is make yourself feel like a guest at your celebration. Like you feel

Raman - HIS Events (:taken care of as a couple where
A venue coordinator, as amazing as they might be, and even a venue that goes above and beyond will never do that for a couple the way that like a planner or an event coordinator would do for their couple.
Kevin Dennis (:Raman, I agree with you on that about the venue coordinator- because there's a lot of times the venue coordinators will come up and say, Hey, let's let's move forward with parent dances and then I'll look around and like father the bride's not even in the room or or like hey, let's do the toast and
Like we're missing half the toasters. You you
Raman - HIS Events (:Yeah.
Kevin Dennis (:know what I'm saying? So yeah, there is a big difference, especially as a as someone working the weddings too. It's just like I'm having to be a little bit more on guard with a venue coordinator than I am with with a regular
August Yocher (:Or you're just managing multiple things at once, right? Like it is the
Kevin Dennis (:Yeah.
August Yocher (:venue and the couple, at least a planner, your full focus is on the couple in that moment.
Raman - HIS Events (:I guess I have a question for you guys of like as a vendor, do you prefer working with, you know, a a couple that has a planner or a wedding coordinator? Or it just kind of depends on how good the coordinator is, 'cause that's a different conversation for a different day. I love it. Yes, that's fair.
Kevin Dennis (:I'm gonna say I'm gonna say it it depends on the planner. How's that? Because there's there
there are planners that make our lives harder than it needs to be. And
Raman - HIS Events (:Yeah.
Kevin Dennis (:then there's planners that like go out of their way to make our lives easier. And those are the planners
Raman - HIS Events (:Yes.
Kevin Dennis (:that we prefer to work with because you know, they they anticipate the questions and they're not like some of them will come in and even cause problems and ask questions. I'm like, this is not even an issue. Why are we why are we even do yeah.
Raman - HIS Events (:yeah. Yeah. Yeah. Why are we talking
August Yocher (:It's a non-issue, yeah.

there's planners that like I I feel like they create problems to make the couple feel like they're valued. And so anyway, we'll see what happens.

Raman - HIS Events (:said, if you're working with the wrong person that's maybe given like some
Some bad advice to a couple and they really value that person and they're really taking what they said to heart, it can make the whole day a little bit more more complicated than it needs to be. And so I think as as maybe it's some advice for couples listening to this, it's kind of like what as you're even considering hiring like a wedding coordinator or a wedding planner, understanding like what they will be doing for you and asking the same questions, like that we're saying, like, you know, you're asking your venue coordinator, what are you gonna be doing? What's the role?
you're asking the wedding coordinator or the wedding planner that same thing and making sure they're the right fit for for you, for the space and for like the overall
Kevin Dennis (:Yeah.
Raman - HIS Events (:vision of the event.
Kevin Dennis (:Well, and I think like you said, the space is so important. Like, you know, yeah,
Raman - HIS Events (:Yeah.
Kevin Dennis (:because not everyone can handle some of these spaces that are you know, some
Raman - HIS Events (:Yeah, fair.
Kevin Dennis (:that that are difficult. Yeah, no, that that's a really good point, Raman. So all right.

next question. I was going to ask you guys what types of couples might be perfectly comfortable with relying just solely on a venue coordinator versus hiring a planner.
Raman - HIS Events (:Absolutely.
Manreet - HIS Events (:so I think the type of couple that might be comfortable with hiring just a venue coordinator is a couple that maybe has like a smaller and more simple celebration where there's not so many moving parts. If it's really just, you know, I'm gonna come on site to my venue, I'm gonna be ready, I don't need access to a bridal suite, maybe I have like
three hour venue rental and it's like I'm gonna come on site, I'm gonna do my first look, I'm gonna have my bridal party portraits, we're gonna have a simple ceremony, and maybe it's like you even go off site to a restaurant for dinner, right? So there's less
Kevin Dennis (:Mm.
Manreet - HIS Events (:pieces to manage. I think that for that type of a couple, not having an actual wedding planner and just having a venue coordinator could make sense because what you really need is you need the chairs to be set up in theater style seating. You need you know your photographer and videographer there, which
You know, potentially then it's not our ideal and not something that we necessarily recommend. But then maybe you just have like a cousin or a friend that's like, hey, is my photographer here? Is my videographer here? I'd say smaller guest count and smaller moving pieces
Kevin Dennis (:Mm.
Manreet - HIS Events (:in terms of what your actual ceremony looks like could make a lot of sense. And then again, it's kind
Raman - HIS Events (:Yeah.
Manreet - HIS Events (:of what venue are you in? Is it a space that's you know, is it like are you at a park? Are you at a community center? Is it that you are at a venue like maybe like a brownstone gardens where it's like they have a very specific space that's already going to be set up?
This venue does this type of setup all the time. And everyone will just be ushered to where they need to go. And then we're ushered off the property. And then we go off site for the meal. So there's no catering to manage. There's no you know, cocktail hour or really any of those types of elements. So I'd say the simpler the better. but overall, I would say most couples could really benefit from having both because, like we've talked about, you know, both both roles have very, very different, unique needs. But I would say that both of them are very important to make sure that your day rolls
both the venue coordinator and your wedding coordinator have very different roles in your day, but ultimately if you have the right team come together, both of them will be so essential to allowing you to have a day where you can be fully present and just enjoying the the property and the space and all the vendors and all the amenities that you have paid so much money and put so much effort into. So both are equally essential, but I'd say a simpler, smaller ceremony would would potentially
be okay with just having a venue coordinator.
Raman - HIS Events (:Yeah. I
Kevin Dennis (:No.
Raman - HIS Events (:I totally agree. And then just kind of keeping in line with definitely simpler, but also if you're working with a venue and you're using their preferred vendors, it changes
August Yocher (:Mmm.
Raman - HIS Events (:the dynamic of the days.
Kevin Dennis (:a hundred percent.
Raman - HIS Events (:It's
Manreet - HIS Events (:Yes.
Raman - HIS Events (:like you're working with a team that knows a space, they know the rules, they know what to do, what time to be there. You know, like for example, if you're working with a venue and you're bringing in their preferred caterer, their preferred bartender.
Their preferred DJ. And even if you're bringing in like a florist who's not even preferred, you're gonna have a successful day because the the core team is gonna do their role immaculately because they know the space. And I think a preferred vendor list can sometimes be almost like a little bit underrated. in terms of like there's a reason these people work here all the time. They know what to do. They are just as valuable, if not more valuable, than a wedding planner that's working at that venue for the first time. And so
Kevin Dennis (:Yeah.
August Yocher (:I would totally agree with that.
Raman - HIS Events (:I think using the list,
like you yeah, you could get away with not having a a wedding coordinator. I mean, again, if you have a great wedding coordinator, it's only gonna benefit. If you don't have a great wedding coordinator, it's gonna hurt the day. but if you work with their preferred vendors, it's gonna be a win. And so I feel like that is one thing that couples I think sometimes they they have like a and this might just be like my
I don't like an opinion from me, but like they have like
Kevin Dennis (:Yeah.
Raman - HIS Events (:a bias towards working with them. They kind of think like, why are they on the list? They're so expensive, or they're like this and that, or why are we being forced to work with them? But there's a rhyme
Kevin Dennis (:Yeah.
Raman - HIS Events (:and a reason for why venues suggest or require sometimes, again, depending on your venue, to work with certain companies. It's because they know the job will get done in an accept like an exceptional way. And I think couples need to almost like take that list and really try to choose like 80% of the vendors from there.
August Yocher (:Yes.
Raman - HIS Events (:You're gonna have a successful day if you that.
Kevin Dennis (:Well, and that's a good point. I just recently met with a venue that got rid of their preferred vendor list for a while. yeah, I love your your face. That was a great look. but then they because one of the one of the
sales teams thought it would be better and couples have more choices and whatnot, but they they didn't realize the struggle that it put on the operation side of
Raman - HIS Events (:Yes.
Kevin Dennis (:the of it. And so
August Yocher (:Mm-hmm.
Kevin Dennis (:they're re-implementing it and bringing it back again because it it it was not.
You know, I you gotta try things and and figure out it works. But yeah, it it there's a lot of value. Even even as a vendor working on the property, if we know we're working
Raman - HIS Events (:Yeah.
Kevin Dennis (:with people that work there all the time, it's it there's there's like a little bit of stress relief, you know? Yeah.
Raman - HIS Events (:absolutely.
And and then you know people like have your back as well. Like if 'cause things can happen and you know at the end of the day, like, I already know this team, like like I feel supported in multiple avenues as a vendor, I think that can be like just reassuring.
Kevin Dennis (:Yeah, good point.
August Yocher (:Yeah.
Manreet - HIS Events (:Even
for us as planners, I would say, you know, we have our internal preferred vendors list, but we don't
Raman - HIS Events (:Yeah.
Manreet - HIS Events (:necessarily say require that our couples work with these vendors, but we do tell them, you know, these are our preferred vendors for this reason based on your vision, based on your guest count, based on, you know, the florals that you want or the installs that you'd like. These are our preferred vendors. And again, just like a venue, you know, works with certain people for certain reasons and knows that you have a good team, your planning team will also provide that to you. And really any vendor, right? We all do this.
Kevin Dennis (:Yeah.
Manreet - HIS Events (:day in and day out and kind of going back to what we were talking about earlier, couples are in this process for the very first time. And many of them haven't even, you know, worked with the DJ before. They kind of just think like, it's just someone that's gonna play music. What does that actually you know? Like, but
Raman - HIS Events (:Yeah.
Manreet - HIS Events (:you don't understand the full scope of what each vendor is bringing to your day. So I think, yeah, really relying on industry expertise, industry industry experience, whether it's from your planner, your venue, your DJ, whoever it is that you really feel like you can trust within your planning process is great.
course as planners, you know, we say like please trust us with your vision and we will kind of walk you through it. And part of our planning services are actually, you know, doing the outreach to your vendor team,
Kevin Dennis (:Yeah.
Manreet - HIS Events (:making sure that they align with what you need. And in the same way that we talked about reviewing venue contracts, we also review all of the contracts for our vendors as well to make sure that you know a DJ is not saying, hey, I'm going to be stagnant in one spot and just I'm not going to move regardless of you know where your ceremony space is going to be or are you live spinning or are you not?
because all of these things could really impact the overall flow of the day and most importantly the couple's vision for their biggest day. So you know, all good things and I think that really just having the right team in place is gonna make or break your day.
Kevin Dennis (:Yeah, there's nothing worse than a a a DJ or a a photographer that goes rogue. So that's I mean, if we could we could probably do a whole whole podcast. Yeah, exactly. All right. So we're getting ready to wrap up. So last question

Manreet - HIS Events (:if it fits in your budget and if it fits within the overall flow of your day. Again, there's so many nuances with answering this question because it's like, you know, are we turning home into a venue? Are we at a golf course? Are we at a winery? Are we doing a full buyout of an entire hotel property? Because all of those things would provide for different levels of support from your venue or no support from your venue, depending on what their competing priorities might be as a planner.
I would say do both just because some of the personal elements and those really special moments can sometimes get lost in translation because again, your venue coordinator has very different priorities than your wedding
Kevin Dennis (:Mm.
Manreet - HIS Events (:planner. They are there, you know, there's a reason they're called the venue coordinator and we are called your wedding planner.
Kevin Dennis (:Mm.
Manreet - HIS Events (:you know, our role is only to be there for you and to help manage the day for you based on your vision, your timeline, what we've spent hours and hours discussing with you in multiple meetings over multiple months.
versus their role is to make sure that their contracts are fulfilled. If they needed 12 staff to buss the tables that they have those 12 staff. And if, you know, number 10 and 11 don't show up, they're gonna figure out a replacement for that. But then while that's happening, we're making sure that you're ushered a cocktail hour and before cocktail hour you get those photos that you really wanted and you know the entertainment is set up and your DJ is making the announcements as they need to. But it's really just, everyone has different priorities and but I would say

Like throughout any of this, it's worth hiring a wedding coordinator, like a personal wedding planner. It really is again just somebody that is thinking differently than you, thinking beyond something that you would even think of, because we just have more knowledge of like the space, a question that would come second nature to us.
is something a couple might never even think to ask until it's too late. And so I think it's one of those like if it even feels like, that could be something to consider, it's worth having a discussion with a company just to see if it's gonna be a right fit.
